Salary: $40,000 - $45,000 per year, depending on experience

Job Description:

Our client is seeking a detail-oriented, organized, and proactive Administrative/Executive Assistant to support our day-to-day operations. This is a unique opportunity for someone who is not only an administrative professional but is also eager to learn and grow into a tax preparation role. The ideal candidate will be a key part of the team, ensuring smooth office functionality while also being trained on the fundamentals of accounting and tax preparation.

Responsibilities:

Administrative Support (Primary Role):

  • Manage and organize office files, documents, and client records, both physical and digital.
  • Schedule and coordinate appointments and meetings with clients.
  • Handle incoming calls, emails, and correspondence in a professional and timely manner.
  • Maintain and order office supplies.
  • Assist with billing, invoicing, and payment processing.
  • Prepare and edit correspondence, reports, and presentations.
  • Act as the primary point of contact for clients, ensuring a positive and professional experience.

Operational Support:

  • Assist in the preparation and organization of tax season materials.
  • Help with data entry and maintain accurate client databases.
  • Support the executive team with various tasks as needed.
  • Training and Development:
  • Participate in training sessions to learn the basics of tax preparation and accounting principles.
  • Receive hands-on guidance to prepare for a future role as a Tax Preparer/Accountant.
  • Be open to learning new software and tools used in the tax industry.

Schedule and Hours:

  • Tax Season (January - June):
  • Full-time, 35-40 hours per week.
  • Hours: 8:00 AM - 4:00 PM (In-office).
  • Off-Season (July - December):
  • Part-time, 20-25 hours per week.
  • Flexible schedule (Hybrid: combination of in-office and remote work).

Qualifications:

  • Proven experience as an administrative assistant, executive assistant, or in a similar role is preferred.
  • Strong organizational and time-management skills with the ability to prioritize tasks effectively.
  • Excellent communication and interpersonal skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • High level of integrity and ability to handle confidential information with discretion.
  • A positive attitude, strong work ethic, and a willingness to learn.
  • Experience in the tax or financial industry is a plus but not required.
  • Must be a self-starter and able to work independently as well as part of a team.
