The Administrative Assistant/Receptionist serves as the first point of contact for both callers and visitors, providing professional and courteous service while efficiently directing inquiries and guests to the appropriate personnel. This role is responsible for managing incoming communications, mail distribution, supply inventory, and shipping logistics, while also supporting various departments through data entry, scheduling, and administrative assistance. The position requires strong organizational skills, attention to detail, and the ability to prioritize and manage multiple tasks in a dynamic office environment. Collaboration across departments and maintaining smooth day-to-day office operations are key components of this role. This position requires onsite work 5 days a week.

Essential Duties and Responsibilities:

  • Answering incoming telephone calls, determining purpose of callers, and forwarding calls as well as forwarding voicemails.
  • Discerning between robocalls/scams and genuine business calls; and answering any questions about organization when appropriate.
  • Welcoming on-site visitors, determining nature of business, and announcing visitors to appropriate personnel.
  • Receiving, stamping, sorting, and distributing mail; maintaining postage machine.
  • Creating Fed-Ex/UPS shipments and scheduling pick-ups; signing for and distributing parcels.
  • Assisting with maintaining the copy machine and with faxing.
  • Handling large volume printing needs.
  • Forwarding email to appropriate personnel.
  • Updating Company phone lists when necessary.
  • Updating training and vacation dates on the schedule.
  • Distributing the weekly schedule to employees.
  • Maintaining inventory of office, kitchen, and bathroom supplies.
  • Organizing hotel accommodations for employees traveling long distances for work or training.
  • Providing Assistance to other areas of the business:

-Safety Department with administrative tasks.

-Project Assistants with data entry and filing.

-Shop with data entry.

-HR with New Hire processing and orientation.

-Executive Assistant with apparel organization.

  • Other areas of the office with tasks when requested.
