POSITION SUMMARY

The Executive Assistant to the President plays a pivotal role in ensuring the seamless operation of the President's office. This dynamic position requires a highly organized and detail-oriented individual who can manage a wide range of administrative and executive support tasks. The Executive Assistant will be responsible for optimizing the President's time by efficiently managing schedules, travel, communications, and priorities while maintaining confidentiality and professionalism. You will also support the President’s events such as Board Meetings and off-site meetings. You will also communication and coordinate with our HQ (Hong Kong) & Global Offices. In this role, you will be the key point of contact for both internal stakeholders and external customers and clients, contributing directly to the success of the leadership team and overall organization.

ESSENTIAL FUNCTIONS

  • Calendar & Travel Management: Proactively manage complex executive calendars, prioritize meetings, and coordinate domestic/international travel with precision.
  • Serve as the primary point of contact for the executive’s internal and external network, including C-suite leaders, Board members, investors, customers, and senior partners.
  • Collaborate closely with other Executive Assistants across the Group internationally to align schedules, resolve conflicts, and ensure cohesive support for cross-functional initiatives.
  • Foster strong relationships with key stakeholders to enhance communication efficiency and represent the executive’s office with professionalism.
  • Meeting & Event Coordination: Organize high-level executive meetings, offsites, and board presentations, including agenda preparation, logistic planning, material distribution, and follow-up.
  • Monitor and process expense reports, invoices, and other financial documentation related to the President’s activities.
  • Project Support: Assist with ad-hoc projects, presentations, and reports, often involving cross-functional collaboration and tight deadlines.
  • Confidentiality: Handle sensitive information with the utmost discretion and integrity.
  • Problem-Solving: Navigate last-minute changes, troubleshoot conflicts, and act as a strategic partner to enhance the executive’s productivity.

QUALIFICATIONS

REQUIRED EDUCATION, SKILLS and EXPERIENCES

  • A Bachelor’s degree in Business or related area is required.
  • Minimum of 5-8 years as an Executive Assistant supporting C-level executives in a CPG or a related fast-paced industry with a global presence.
  • Advanced proficiency in Microsoft Office (Word, Excel, Outlook & PowerPoint), MS Teams, and virtual collaboration tools.
  • Organizational and time-management skills. Ability to multi-task and prioritize.
  • Proactive problem-solving and ability to thrive under pressure.
  • Polished, professional demeanor with meticulous attention to detail.

LANGUAGE SKILLS

  • The individual must possess excellent written and verbal communication skills in English and Mandarin Chinese. Cantonese is a plus.

MATHEMATICAL SKILLS

  • Individual must be able to apply basic mathematical concepts to perform daily functions.
