Who We’re Looking For:

We’re looking for a proactive, organized, and personable  Office Assistant who thrives in a fast-paced, creative environment and enjoys keeping things running smoothly behind the scenes. This role is ideal for someone with administrative experience and an interest in supporting a small but growing team working on commercial design, graphics, and construction projects.

You’ll play a key role in supporting our sales, estimating, and project management teams—keeping communication clear, materials organized, and operations flowing efficiently from bid to install.

What You’ll Do:

As our Office Assistant, you'll help coordinate schedules, documentation, and project-related tasks across multiple departments while maintaining a friendly and professional presence at the front of our office.

Key Responsibilities:

Administrative & Office Support
  • Maintain daily office organization and supply inventory
  • Answer phones, greet visitors, and route inquiries to the right team members
  • Receive and send shipments; track materials and packages
  • Organize vendor documentation, client files, and internal paperwork

Sales & Estimating Support
  • Assist with organizing bid proposals and paperwork for estimating team
  • Help submit vendor packets, W-9s, insurance certificates, and required forms
  • Support preparation and submission of purchase orders, billing forms, and material quotes
  • Track and follow up on project submittals and documentation

Project Coordination
  • Help with scheduling installations and preparing materials for field crews
  • Track project timelines and help maintain updated status reports
  • Communicate with vendors, clients, and installers to ensure project needs are met
  • Occasionally join site visits or walkthroughs to support the project team
  • Assist with AR/AP tasks such as submitting invoices, tracking payments, and calling on unpaid balances

Team Communication & Reporting
  • Participate in weekly office meetings and assist in relaying updates between teams
  • Support project managers by tracking next steps, updating checklists, and summarizing weekly progress in reports
  • Foster a collaborative, solutions-oriented environment across departments

What You Bring:

Required:

  • 1+ year of computer skills and experience with Microsoft Office or Google Workspace
  • Excellent organization, communication, and time management skills
  • Ability to manage multiple tasks and stay detail-oriented in a fast-paced setting
  • A friendly, professional demeanor and a team-player mindset
  • Reliable transportation and ability to commute to our office in Houston, TX

Preferred but Not Required:

  • 2+ years of office or administrative experience (especially in construction, design, or sales support)
  • Familiarity with CRM systems, project coordination tools, or invoicing software
  • Experience working with vendors, subcontractors, or field teams
