Job Description

Automated Precision Inc . is a leading manufacturer of laser measuring and metrology products. Our systems are used in a variety of industries including aerospace, shipbuilding, heavy equipment manufacturing, machine tool, energy and construction verticals. At the corporate headquarters in Rockville, MD, we are currently seeking to add to the team a Sales Administrator .

Primary Duties:

The Sales Administrator is responsible for the daily administration and support of sales activities and related processes.

Client Services Liaison

  • Create sales orders for service projects
  • Liaison between service manager and office staff to ensure all purchase orders are properly accounted for
  • Liaison between service manager and office staff to ensure time keeping is accurate
  • Review services expenses daily to ensure compliance with travel policy
  • Support services payroll

Accounts Receivable

  • Assist in ensuring that the company receives payment for goods and services offered to clients
  • Create invoices according to company practices and submit invoices to customers
  • Maintain and update customer files, including name or address changes, mergers, or mailing attentions
  • Draft correspondence for standard past-due accounts and collections, identify delinquent accounts by reviewing files, and contacts delinquent account holders to request payment
  • Create reports regarding the status of customer accounts as requested
  • Review customer discrepancies and past-due amounts with the assistance of the Collections Manager and other staff

Administrative Support

  • Support sales staff in preparing related reports
  • Support correspondence with customers
  • Prepare customer-facing reports
  • Other duties as and when needed

Requirements:

The right candidate has a keen eye for detail and is able to work well in a deadline driven environment with minimal supervision. Requires significant teamwork with Sales Managers and internal staff.

  • Associate or bachelor’s degree in accounting
  • Min. 2 years of relevant experience
  • Solid analytical skills
  • Problem solving skills
  • Excellent interpersonal customer service skills and the ability to form relationships at all levels of the organization.
  • Excellent verbal and written communication skills
  • Proficient in Excel and related software as well as other accounting software programs
